Pros:

I needed a piece of software that simply allowed me to integrate with calendars and allow my employees to select available shifts in advance to prevent me forcing people to work.

Cons:

The reporting side of it is hard for us a company as we have to provide quite detailed reports with lots of reports joining together.

Rota Planning with Ease

Comments: We used rotacloud and left due to the HR provider having their own rota planner, however this was short lived and we soon came back.

Pros:

RotaCloud - A Simple and Effective Payroll Solution

Comments: RotaCloud is a very user friendly system covering most of our requirements for Staff time management and payroll as well as other areas that we wouldn't necessarily expect from this type of product.
I still find it both visually appealing and easy to use despite the fact that it has many complex skills and features 'under the bonnet'.
They are also very open to update suggestions and engagement which is clearly something that has kept us onboard as it has evolved over the last 4 years.
More of the same in the next 4 years please!

Pros:

The user interface was great and still is. Implementation was very straightforward. It has all the features we were after compared to the other products we looked at and the administration of these has generally been quite straightforward. The team behind the curtain were very helpful and communication during set up and the following months was excellent.

Cons:

There were initially some teething issues with our business as we are a Private Charity Nursing Home with very specific staffing needs. This made fitting into RotaCloud take some getting used to rather than buying a bespoke product. However, one of the Pros to come out of any of the Cons is that the team are very hands on with customer issues and product updates initially came thick and fast. Nearly all of our early problems were addressed, resolved or a workaround found. I now look forward to what software updates are incoming to further improve our day to day use.

Alternatives Considered: Deputy, Sage HR and Breathe

Reasons for Choosing RotaCloud: Formally People Planner, we switched because it was not only unfinished but did very few of the tasks it promised to do. It was also extremely expensive and not at all intuitive to use

Reasons for Switching to RotaCloud: Predominantly due to its ease of use and the fact that they offered us a Charity discount on an already very competitive rate. The team's initial trial period was very generous and allowed us to fully explore the product.

Gone from paper timesheets to a clock in software

Comments: overall set up was pretty easy and day to day usage is good

Pros:

the app for staff, easy to amend rotas live so all can see. ask for shifts and publish to staff to claim. easy reports for monthly payroll

Cons:

working out different levels for the team and integrating into payroll but once i had it explained to me it was very simple

Great software, time saving, couldn`t work without it!

Comments: Quick and friendly support, especially during set up. They contacted us regularly to check we were OK

Pros:

Easy to use, everything works as it should. I also like being able to keep all HR records in one place. Staff can see at a glance their holiday.

Cons:

I have to export to Sage, would ideally have liked an all in one package

A product u dont realise u need until u have tried it

Comments: I cannot fault the system it does work flawlessly and they are open to ideas and try developing them so I couldn't ask for more great team doing an amazing job well done guys

Pros:

It seems to be one of them products that I want you have tried it you don't realize how much you needed it and then if you try stepping backwards are not using it going back to your old way you soon miss it all the information seems to be there when you need it stuff I responsible for their own clocking in and out and any issues that I have had with it I've been user errors even though I have annoyed the rotacloud team thinking it was some glitch and the fact that staff can request their holidays in advance and it stops of spotting them into them shifts

Cons:

The only issue I find is when I do need some advice on their live chat it seems to be out of business hours and I think by the time most business owners get chance to do anything it is out of business hours especially smaller businesses

Good shift management system for arts organisations

Comments: Its a really good system for our venue (performing arts) that is popular with all our users. The support is quick, helpful and friendly.

Pros:

Very easy to use and is popular with our full-time staff and our freelance and casual staff. Easy to see who is called and when and what work they are going to be doing.

Cons:

The desktop interface could do with a bit of updating to show a bit more information and some different options (views) for how the information is displayed.

Get time back for other tasks

Comments: Fantastic, great team. They are so good it feels like we are part of the same company sometimes! They are fun, very helpful and well mannered! I love customer service and this team are a great example of how a company should project those skills.

Pros:

I love that rotacloud has allowed me to gain time back for other responsibilities. It makes rota writing so much easier and quicker, helping my work load be more manageable.

Cons:

I would say our staff would raise issues because they are reluctant to use the excellent help section. I personally do advise to use the product on the laptop rather than the app for those who struggle with mobile tech.

Brilliant Tool

Great system, great customer service!

Comments: Overall, RotaCloud is our life saver! All of our team benefit from each feature on RotaCloud, from managers to HR to care coordinators to our health care assistants.The customer service is one of their greatest features, as all the team are so helpful, friendly and professional!

Pros:

Firstly, the customer service from RotaCloud is outstanding, they are always on hand to talk, they are friendly and always do their best to help you via their chat service. It's a great balance between professional and fun, myself and the team will send funny gif's and memes!The system itself is put together very well and is very user friendly - its very easy to schedule shifts on the Rota, to complete time sheets and monitor annual leave. The reports system is an amazing feature, it breaks down everything from sickness reports, to how many hours worth of shifts per month. It saves us a lot of time working it out individually. It is my favourite feature working with HR. Another great feature that we use all the time is the bulk action tool, which allows you to move shifts from one employee to another in one go, rather than one by one. It saves the company a lot of time!

Cons:

A feature that would need to be improved on timesheets would be that it would be helpful if when there is a missing clock in record, it flags up which clock in record is missing, rather than flagging up the day. Due to the nature of our business (community care) our staff can have 10+ shifts allocated per day. So when it flags up, it becomes quite time consuming to go through each one to check where the missing record is! We are currently experiencing a bug with the bulk action tool whereby we are unable to bulk action any shifts from the "open shifts". However, this has been reported to Meg and she has been a great help in getting this looked into!

Not perfect, but pretty good

Comments: The cons I describe above are really small, and are 'enchancements' or dev requests more than problems. I could not run this business without RotaCloud!

Pros:

Being online means I can create rotas at home or work, and the app means team can access their rotas in the way that's easiest for them. I like being able to copy a shift from one day/person to another, and being able to copy a week's shift from one week to another. The reporting is good also, enabling me to do payroll easily.

Cons:

A few things are bit fiddly and could be improved. 1. having to change between publish mode and rota mode. it would be better to be able to publish a week with a button, or a right click for just one shift. 2. it is cumbersome having to create holidays in a different screen. it would be better to be able to do it from within the rota screen. 3. if I'm creating a rota for next week, and then navigate away to, say the holiday screen, when I go back to the rota screen it will go back to THIS week not the week I was editing. On more than one occasion I haven't spotted that and erroneously then edited THIS week instead! 4. it would be great to be able to include paid leave in the report so that I know to include that person's day in a pay run. At the moment, I have created a role of 'paid leave' so that their holiday hours get included in their hours for that week 5. I like being able to see how many shifts a person has for that week (ie in a row) but it would also be helpful to see how many shifts are logged for each day (ie in a column).

Transformed our rota system

Comments: Prior to RotaCloud we used an excel paper copy of the rota. This was 'messy' and difficult to see exactly who was working what throughout the month. By the end of the month the paper version had numerous alterations as employees have time off through sickness or other personal issues / appointments. RotaCloud allows efficient changes to be made meaning any regulatory bodies looking at rotas have a clear and concise view of events. Time has been saved as when shifts change the system notifies all employees of availability at the home. This means that we are no longer calling round all employees which had impacted on their down time. Employees have also embraced the system using this to pick up additional shifts where they are available. Internal monitoring has improved as the management and HR team are now able to see 'real time' data of employees working patterns as well as any HR issues. The ability to add leave onto the system means creation of rotas is now more efficient with less mistakes made as well.

Pros:

The ease of use of the system and the short amount of time that is required to set up. I was able to implement the system for our company within 1 day which included inputting of the rotas 4 weeks in advance. Employees are now able to see their shifts at any time through the mobile app or browser and are able to see any shifts which need covering. The cost of the system pays for itself purely from an administration point of view as we do not need to call round all employees for availability.

Cons:

There are different price structures for different features and from our point of view it would be easier to have one price for all access.

Makes Rota Planning a Walk in the Park!

Comments: Saved hours of my week planning and making rota changes. Everyone always knows where they need to be and what they are doing. An operational gem.

Pros:

Ease of use, for both myself and my staff. Love to be able to run reports to submit to my accountant.

Cons:

No support at the weekend! I once was disconnected by accounts for a delay in paying a bill, and the whole company came to a halt, because although my payment was made, the system was not reset live until the following Monday and this created a proper operational disaster for us.

Very handy app. Love having all the information I need all in one place and super easy to use

Comments: Having all the information all in one place makes everything so easy. It has completely cut the time it take to do a rota, the lay out makes it all so straight forward. I use the staff more efficiently, instead of having 6 staff on in one day where they are not needed or not having enough staff for a day. I have been able to move them around to times when they are needed because the layout makes it very clear who is on and who you need.

Pros:

Whenever I need help or have a question one of the lads will reply more or less straight away, they talk me through what I need to do. Its great not having to go through diaries or spreadsheets trying to figure out when people are on holidays , with one click I have all the employee holidays in front of me. I never go over my hours limit, it adds it up for me itself which saves the company I work for money. It used to take me roughly a full day if not longer to change peoples hours around and have it all right. Then insure that all staff knew when they were working, now all they have to do is check the app once they have been notified by the app itself. It really is a great app, and it really helped me out when I took on role of manager, I was looking for an easier way to do the rotas as it was taking to much time the way the previous manager had been doing it. I came across the app online 3 months into my role and that was over a year ago now and all the staff much prefer it this way. Its quick easy and to the point.

Makes my job easier

Comments: Really saves time for me an d the company , the reports and clocking in and out have proved extremely useful in all HR areas as well as the daily running of the company.

Pros:

Speed in which I can complete the Rota, the quick way I can allocate overtime / open shifts . The ease for the zero hours team to decline and advise, the way rota cloud helps speed up the monthly payroll due to the ease of reports available. Any staff queries are much easier to back track and confirm or amend.

Cons:

Not being able to have a banked hours additional leave allocation area. Not being able to stop staff being able to request leave if they are near the red allocation as we use hourly leave. having to type in the break allocation ..ie not being able to set at time and break allocation then when you type in it. Should be able to reconise. For future memo area to be more effective. See which staff member hasnt looked ... add attachments.

Perfect for hospitality!!

Comments: overall perfect i even recommended it to our sister hotel rushton hall and they have the plan and already in process of starting it up.

Pros:

holiday requests/ leave. doing the rotas in general.

Cons:

if rotacloud also had a finger print system that could link straight up with the cloud based rota would make it a complete system to use and make payroll huge, i do not like the clock in and out on mobile devices because sometime staff can get away with alot of things.

Works brilliantly for us

Comments: The whole are incredible supportive, there is a brilliant online chat function. Any problems we've had they've dealt with so quickly & are friendly with it too. Nothing is too much trouble.

Pros:

Its really user friendly for both employees & admins. We're a huge fan of being able to add notes to employees shifts, it's handy for keeping staff in the loop. The reports make it easy to monitor the amount of hours staff are doing. For us the best thing is being able to have separate departmental rotas but them being available for other departments to see.

Cons:

There are a couple of features that you can't access from the app or a webpage on your phone (eg the reports on staff hours) but that's only a really minor thing all works fine from a computer or tablet.

Does what it says on the tin!

Comments: Generally - take time to set it up - you will reap the rewards, the first couple of payroll took time as we had to double check everything - now we're flying! Saves a lot of time, is accurate, and very very easy to use.

Pros:

I like the control our staff have over their shifts, and hours. I also like that we retain control and have very easy to use functions. Visuals to see daily, weekly etc exactly what your spend is per person, per day etc Excellent reporting, no longer doing things retrospectively when you have a higher wage bill than you can expected!! We are a very busy pub/restaurant staff can swop shifts, even between roles if we allocate this. Very easy to use - worth taking time to set up.

Cons:

Sometimes it's not 100% clear how to set things up, most of the time it's really easy, but sometimes it's a little thing you have missed, however use the online chat - never failed to help! Really pleasant and helpful, even when some of our staff struggle with new technology - they have all managed easily.

An excellent scheduling software

How easy it makes planning and publishing rotas along with the benefits for staff to be able to track their schedule and book time off.

Cons:

As a manager I find the timesheet option is less intuitive to use.

Excellent!

Pros:

I love the fact that it is easy to access and everyone can see shifts that need covering, who’s where and also that you can leave notes for the staff on duty at the next shift. Trying to work out best place to record things when there’s a lot of part time shift workers is always a problem and RotaCloud has fixed this! Couldn’t do without it now.

Cons:

The only downside is having to scroll through weekly to get to the rota a few weeks/months in advance. This is time consuming and hopefully they will develop a drop down calendar soon..? Thank you in advance!

Really impressed

Pros:

Easy to use and implement. Simple to onboard and demo to users. Quick for administers to learn functions.

Cons:

The banded pricing can mean if you are just one colleague into the higher pricing category then the price can be less cost effective

Excellent for our business

Pros:

Works perfectly for all areas of our business. Team love the online cloud based rota and app. Love that all Rota’s for all departments are visable easily and hours calculated. It works well with PeopleHR and pulls through holiday and other areas for absence to manage our business and salary’s well.

Cons:

None really that I can think of. Software is very easy to use and functionality works at very basic level or if you are wanting to use RotaCloud to maximise all its capabilities (which we certainly don’t) would be very easy too.

Great rota system - no more spreadsheets!

Comments: They are very quick to reply when you have a question and very helpful and friendly - nowadays that is so rare to find with customer service.

Pros:

I like how it looks and how easy it is to use overall. I also like that it automatically calculates the weekly hours although I would love to have a feature that shows me the daily hour total when I am entering the staff shifts as they change everyday. I also love the reports and the availability/unavailability feature.

Cons:

As mentioned above, the fact that it does not give me the day total hours, only the weekly ones.

Intuitive with (almost!) all the features we need

Pros:

Very easy to use, scheduling is easy with lots of time-saving tricks. The "open shift" feature is a lifesaver for filling gaps in the rota!

Cons:

It would be good to be able to limit "open shifts" to certain employees, or allow certain employees access for a set amount of time before the shift becomes available to other people (eg. so employees could pick up open shifts as overtime before locums were able to see them and pick them up at a premium rate).
