About Resource Guru
The fast, flexible way to schedule teams and projects. Track availability, assign work, analyze workloads and keep everyone up-to-date.
We can also integrate to the API to easily see who has free time and surface this through other channels. It also allows the whole company to get a view on who is free and when.
I think I'm missing the possibility to attach documents to tasks.

Simple and very easy to use resource scheduling\tracking app.
Comments: Resource Guru is a great resource scheduling application for a simple use cases. It does what it promises perfectly. The UI is very friendly and pleasant - make for a great user experience. I used it to track the tasks for my team for almost a year. I would have kept using it but the company mandated a different tracking system and I had to abandon it. I like that Resource Guru'a focus on their product and customer service. I also appreciated the slow introduction of new features. Overall, very pleasant and satisfactory experience with a great application.
Pros:
- Ease of use - Very pleasant UI - Flexibility
Cons:
- Lack of features. The application does the simple scheduling\tracking perfectly though. - Copy\paste of resource tasks was not available at the time

Fills and essential need
Comments: Resource Guru solved our need for scheduling employees and monitoring our backlog to let customers know approximately how soon we would be able to do their jobs. Currently we are scheduling 3-6 months in advance so it is a real asset to assist in giving customers a realistic estimate of a time frame for their job.
Pros:
Software is relatively easy to use. It is not truly designed for a service type industry but with a little manipulation of the way fields are used, we have been able to make it a good resource for us to schedule our installation crews. It is much easier than many other programs I have looked at and our entire front office uses it to see daily schedules, schedule openings, future bookings as well as monitor backlog.
Cons:
Program could use better co-ordination between bookings and scheduling as well as easier means to divide resources (employees) into groups (we did find a work around for this)

Cons:
some time and effort to fully understand and utilize. This can be a disadvantage for organizations that do not have the resources or time to invest in learning a new tool.Limited integrations: Resource Guru does not have as many integrations with other tools and systems as some of its competitors, which can limit its functionality for organizations that rely on integrated solutions.Limited customization: Some users may find that Resource Guru's features and capabilities are limited and not fully customizable to meet their specific needs.Limited mobile app: Resource Guru does not have a dedicated mobile app, which can be a disadvantage for users who need to access the tool while on the go.

Resource Guru: An Easy-to-Use Resource Management Tool
Comments: Overall, my experience with Resource Guru was positive. The software was easy to use, intuitive, and provided me with a powerful suite of tools to help me manage my team's resources.
Pros:
I liked the fact that Resource Guru was incredibly easy to use and allowed me to quickly and intuitively manage my team's resources. The software also allowed me to easily customize the way I view and organize resource data, which was very useful for staying organized.
Cons:
One thing I disliked about Resource Guru was that it had a limited selection of integrations. This made it difficult for me to connect the software to other applications I used for project management. Additionally, there were some features that I had to pay extra for, which I felt was not ideal.

My daily bible for work
Comments: I honestly rely on this stuff every day and would struggle to get by without it. Overall, I've had a great experience using Guru, and I'd absolutely tell a friend about it.
Pros:
I appreciate how this tool can be so well-structured. As our account had so many updates, we used this tool to stay informed. I admire how you can save your favorite cards to the favorites page and quickly search for what you need by using a keyword to respond to members' concerns.
Cons:
Nothing about the product bothered me, and since I last used it, I'm confident that it has improved even more.

Great Team planner
Comments: My experience is great, able to see what my team is planned for ahead of time, but as with all apps its really only as good as the user.
Pros:
It is very user friendly and we are easily able to see what the team is planned for
Cons:
That we cannot do reporting on the basic package

Good tool for affordable price, good for displaying project milestones and phases
Comments: Generally I have a good experience. Project members like my charts with the project overview.
Pros:
Easy, good look &feel. Color codes, shapes all good
Cons:
It's difficult to re-arrange milestones/phases when the slip (this is typically the case). I would like and drag& drop feature that allows it to apply changes quickly. Also, when re-arranging position of icons/ text, after going to edit timeline, then back, the previous layout changes are dropped.

Resource Guru has been a game-changer for us
Comments: I love Resource Guru. It's the only thing that's shifted our capacity management into a new gear. By which I mean: No more trying to manage everything from a single calendar, complete visibility over workflow and appointments, and the ability to see at a glance how much time is available on any given day.
Pros:
1. It doesn't try to do anything other than what it's best for 2. Calendar sync 3. Cost-effectiveness 4. Responsiveness of the support team (including on UX suggestions! Amazing.) 5. The little guru on the dashboard. Yeah it's cosmetic but it makes me feel good every time I log in. 6. Easy to set up and use.
Cons:
The only things I really dislike a cosmetic and non-fatal. They are: 1. The inability to hit a "today" button to go back to today's date, and the thin scrollbars right and left 2. The fact that I have to literally click and drag events to create instances on non-consecutive days, rather than selecting dates.

Hi Leticia Thanks for the great feedback :) I hope you'll be pleased to learn that we definitely do have a "Today" button which takes you straight back to today's date. It's in the top left of the schedule, next to where you navigate between different months and years. I hope this helps! If there's anything else we can do for you please just let us know. Happy scheduling! Kat

Extremely handy software, easy to use, visibly appealing, great to manage and schedule.
Comments: Positive, I do enjoy managing RG for our company. My company want us to migrate and start using the schedule planned for Office 365, but I had to push back and explain that this software is up to date, already does everything we need it too and Office 365 still has a long way to go before we can use it for what we want. It's safe to stick with RG that we know how to work, we know what it does and what i can't do and it works, no need to change something that isnt broken.
Pros:
I like the appearance of the software - its clear, self explanatory, easy to navigate, see the bigger picture to jiggle schedule resource about, etc. I like how easy and quickly the support team are there to assist when needed. I like how it shows you who has booked what and the daily reminders via email of what is coming up, etc.
Cons:
It isn't a negative but I would like to have a scheduling log, to see at what time and date did someone book a slot onto the schedule. I manage the Creative Studio, depending how many campaigns and the urgency in hitting these deadlines, I need to keep track of the entire departments availability, knowing when i can move things around in order to deliver last min projects. Only myself should have booking access, but I currently share it with Creative Directors, so they can schedule in my absence, but I can't see when they have booked them in so i can keep track. Is this something you could implement, please? Thanks,

Great resourcing software. So easy to use.
Comments: Has helped immensely with staff resourcing and maximising utilisation.
Pros:
The visual interface and ease to move (drag and drop) staff bookings around.
Cons:
Not having a search feature within Projects field.

Hi Ben Thanks for sharing your feedback :) We do have plans to let you reorder your projects in future, but I'm afraid I can't give you an accurate release date for this just yet. In the meantime, you could put numbers at the start of your projects names in order to group them on the schedule. Please don't be a stranger if there's anything else we can do to help :) Happy scheduling! Michelle

Daily Resource Guru user
Comments: As mentioned above, the web based ease of use and reporting functionality make Resource Guru a trusted tool for maintaining and tracking our resource based projects. Highly recommend!
Pros:
My company chose Resource Guru because of the web based interface. We've stayed for the ease of use and robust reporting functionality. We are able to extract daily, monthly, and yearly (or custom) reports and easily create Excel pivot tables for internal analyzing. This feature alone is extremely beneficial to our company.
Cons:
No dark theme. It's only a minor thing but would really like to see the quality of life feature added to future versions.

The best stand alone solution for resource management
Comments: We're using ResourceGuru for weekly planing, when we plan the up-coming week for every creative and strategy members. And every day, through a short stand-up meeting, we review the daily plan of everyone to make sure everything is clear. Thanks to the simplicity of the UI we can easily replan on the fly in case of project changes.
Pros:
UX is awesome Simplicity of the solution.
Cons:
The one-side only integration with Google Calendar. If we plan meeting in people's calendar, ideally it populates ResourceGuru (and would place it in queue in case of conflict/overtime). The integration with other software, like Harvest, is inexistent, isn't it?

Intuitive and efficient resource management software
Pros:
The best part about Resource Guru is the reporting system. Given how fuss-free the management tools are to use, the reporting system is the proverbial icing on the cake, as it aggregates all your available data in one easy to use panel. Not to mention, it is so intuitive to use and has such a remarkably low barrier to entry, that I onboarded all my team managers in a single day, and have never looked back.
Cons:
Some parts of the UI look a bit dated, like the "adding resources" panel, but it's honestly not a big deal because you only use it once when adding your resources, and hardly touch it ever again. Other than that, changing the default working hours is a bit tedious, but again - do it once and you never need to adjust it again.

Solved the Scheduling Problem
Comments: It has been an excellent experience. I brought resource guru to my current company after experiencing it as a project manager at another consulting firm.
Pros:
The ability to filter, sort, and visualize resource assignments across 50+ individuals with a variety of technical abilities has helped remove a lot of the pain in managing geographical diverse field crews
Cons:
I would like the ability to see 4-6 months on the screen at once. Instead of individual blocks for each day, I would like to see each block represent one week (a zoom out option). Some projects are 1-5 days, while a lot of assignments are 3+ months.

Hi Patrick Thanks for leaving your feedback! I'm pleased to say you can achieve viewing the Schedule in a weekly or monthly way is firmly on our roadmap. In the meantime I would advise you to try using the Browser zoom together with the zoomed in view in the Schedule: https://help.resourceguruapp.com/en/articles/2942101-zooming-in-and-out Depending on your browser, you will find the zoom in different locations but usually it's under the menu item "View" or you use the shortcut "Cmd" (Mac) / "Ctrl" (PC) and "+/-/0". I hope this helps but if there's anything else I can do to help please just let me know. Thanks, Michelle

Great scheduling app for teams
Comments: We have a team of 15+ individuals who all have different work/ vacation schedules, commitment levels, and weekly to daily workloads. We use ResourceGuru to organize all of this information into a simple, clean format that is easy to read and quick to update. The main component that we use every week is tracking team member's availability to take on more work (or if they're overloaded and need help). We accomplish this by using the "clients" toggle field, which we set up with levels of availability (Available, Partly Busy, Mostly Busy, and Fully Booked) with colors associated with them (green to red). That way, in one glance, we can see who needs work, and who has too much and could use some help. It's a bit of a work-around, but RG is by far the best platform we've found to accomplish this simple task.
Pros:
The user interface is very intuitive and it is easy to scroll through the entire team's schedule for the week.
Cons:
The cost is considerable, but if your team needs something beyond Outlook calendar to view everyone's schedules in one place, it's a great option for that. I wish there was more compatibility between our Outlook calendars and RG though. Often it feels like we need to have duplicate information in both places.

Hi Spencer Thanks for sharing your review of Resource Guru! I wanted to check in to make sure you knew about the availability bars? It sounds like you're using a workaround to highlight when people are available, but the availability bars will give you excellent visibility of when each of your resources has availability, right there on the schedule. You can learn about using them here: https://help.resourceguruapp.com/en/articles/2942098-using-the-availability-bar I hope this helps! Ou daily challange for organising and planning multiple teams and projects
Comments: As already written before, we are managing several teams and projects with the tool. It is our main tool, to organise the day to day work and do long term planning. We build an interface into our financial tools, to have an automated process to align budgets with the planning!
Pros:
We like the easy to use approach and the overall visibility Very important is the cooperation and management of a single resource with multiple people. To reduce the risk of double bookings or gaps...
Cons:
There is very little what is not optimal. We are happy that overtime is possible now... but maybe a bit more reporting functionality would be good.. not as "extracts" more online! and if I could whish for something, the integration into JIRA is something we would need!

We got more than what we expected!
Comments: We've solved our equipment booking issue and couldn't be happier!
Pros:
The interface is intuitive and easy to adopt into our daily routine. Our company has a collection of instruments that were being double booked or under utilized, because our previous scheduling method was murky and unclear. Now, we've avoided double bookings and can complete client work more efficiently. The most exciting thing about this software is that we keep finding ways to enhance our understanding of our operations (materials and labor costs, in particular) as we use the software. This will help us not only get client work done on time, but give us a more accurate representation of overall project costs.
Cons:
I would like a feature that allows us to upload a protocol or document to the booking.

Hi Kathryn Thanks for sharing your feedback :) It's not currently possible to host your documents in Resource Guru but we do have plans to let you do this in future. In the meantime, you could host your documents online somewhere like Google Drive, then add the direct link to the relevant booking/resource/project/client in Resource Guru. All links in Resource Guru are clickable, so with just one click your team will be able to see the documents you want to share with them. I hope this helps, but please let me know if there's anything else I can do for you. I'm always happy to help! Thanks, Michelle

RESOURCE GURU - ok for small and medium companys and/or not too demanding user
Comments: We use it for micro and macro managing of our team. For bigger companies such as ours it is not flexible enough. Reasons as listed above.
Pros:
I LOVE the sayings from the sitting guru on the upper right side on the dashboard.
Cons:
I miss certain features or find them not to be optimal for end user: - Colouring certain project or client, without influencing dashboards in other offices worldwide, who happen to work on the same project or client (if I want to mark it regionally) - Search function is not successfully applicable (you dont't get clean results, without clutter) - Not optimal print option for weekly overview (Guru in the middle, format wrong) - Copy function only with shift key + draging the selected entry to duplicate it somewhere else - Reports export to excell is not usable without modifying the excell spread sheet - Complicated weekend bookings

Hi Ana I'm sorry to hear that you've had some difficulties. I wanted to let you know that we have plans to release custom fields for bookings in future, and this should help you to categorise individual bookings without having to use the "Color by" setting. When you filter resources you will see all bookings which have been made for them, and we are currently working on a dedicated project/client view to make it even easier to focus in on bookings for specific projects/clients. Resource Guru was designed to be used as an online tool, so we don't have a print feature right now but we do plan to support printing in future. I can see you discussed the report downloads with our team and I'd recommend you use the XLSX file rather than the CSV file. When it comes to booking at the weekend, if your resources aren't normally availability you can create an availability exception as shown here https://bit.ly/31H5S6C You can also flag overtime! Hope this helps :) Thanks Kat

Comments: Overall I am very happy with the product
Pros:
As a cloud based system it has no implementation issues. Its easy to use and clear to view. The ability to use colors to quickly delineate users and projects is a great feature and the reporting is excellent
Cons:
Having to download reports as a pivot can be frustrating I would prefer the reports to be available within the software.

Excellent for viewing schedules
Comments: i can see the dept's schedules and plan booking
Pros:

We have 16 trainers so would be good to view the schedules one one page without having to scroll up and down

Hi Jaspal Thanks for sharing your review of Resource Guru! The number of resources you see on the page at once will depend partly on your screen resolution, and partly on how many bookings you have for each resource on individual days. The more bookings, the more space a resource will take up on your screen. You can help to show more resources by hiding your availability bars; here's a walkthrough you might find handy: https://help.resourceguruapp.com/en/articles/2942098-using-the-availability-bar It may also be worth noting that you can filter your resources, so you're only looking at relevant people. Here's a walkthrough showing you how: https://help.resourceguruapp.com/en/articles/2942088-filtering-resources I hope this helps, but please let me know if there's anything else I can do for you. Hi Mimi Thanks for sharing your feedback! Once your team activate their account, their photo comes under their control (along with their name and email address). Resource Guru was designed so that each person invited into the app has control over their own details and can keep their own details up to date. This helps to prevent one person from being burdened with keeping everything up to date. So, the best thing to do is to ask your team to update their own photos themselves. If you have any resources that have been added to your account without being invited (or who have yet to activate their invite) then you should still be able to upload photos for them. Please let me know if there's anything else we can do to help :) Thanks, Michelle
